Conditions of Entry

ENTRIES​

Sections​

The Salon will consist of:

Four (4) Projected Digital Image sections:

– Open Colour (PSA Colour PID)
– Open Monochrome* (PSA Mono PID)
– Photo-Travel (PSA PTD)
– Nature (PSA ND)

Two (2) Print Sections

– Open Colour (PSA PPDC Large Colour)
– Open Monochrome* (PSA PPDM Large Mono)

*Monochrome images may be entered in Open Colour section, but if accepted will only be eligible towards PSA Colour PID or PPD Star Ratings.

All acceptances will count towards PSA, GPU and FIAP Distinctions.
A maximum of four entries may be submitted into any one Section. The same photograph may not be entered into more than one Section. All entries must have a unique title and that title must not have been changed if the entry has previously been accepted in ANY other International Exhibition or Salon. Images meeting the Monochrome definition and non-manipulated colour images from the same capture shall be considered the same image and must be given the same title.

Entry

The exhibition is open to anyone. However, the organizers and selectors reserve the right, before, during or after the judging, to determine, without providing a reason, that an image or a whole entry is unsuitable to be included in the exhibition or that you are not, in their opinion, a suitable person to be represented in the exhibition. If the whole entry is declined, any entry fee paid will be returned. The ‘entrant’ (also referred to as you) to the Bristol Salon is deemed to be the photographer/copyright holder.

Previous Acceptances

Images accepted in a previous Bristol Salon or which, in the opinion of the organisers, are too similar to those accepted in a previous Bristol Salon, will not be judged. This includes monochrome versions of colour images or colour versions of monochrome images accepted in a previous Bristol Salon.

Monochrome/Colour

Monochrome and colour versions of the same image are not both permitted to be submitted in either the same or different sections of the Salon, only one may be submitted.

Copyright

The original image(s) must have been taken by you using a photographic process and you must have the sole copyright to each image you submit. Clip Art and Copyright Free material are not acceptable. The PSA, FIAP, PAGB, GPU and Bristol Photographic Society assume no responsibility for misuse by anyone of the copyright of published images.

Submission of Entry

Entry to all sections and uploading of images will be via the “on-line” entry forms, using the “Entry Form” Page of the Bristol Photographic Society web site.

Image Titles

Image titles must be a maximum of 35 characters including spaces and must not include < ” ^ > : ; \ { }=. Each image must have a unique title. Once an image has been accepted in a PSA Recognized or FIAP, GPU or PAGB approved exhibition, that same image, or a like “in camera” or a “reproduction” duplicate of that image:

– May not be re-entered in any section of the Salon regardless of media, format, or title.
– May not be re-titled for entry in any other PSA Recognized or FIAP, PAGB or GPU approved exhibition, including translation into another language.

Words such as “Untitled” and “No Title” are not acceptable as part or all of an image’s title, nor are camera capture filenames.
Nature entries should not have “cute titles” but should have descriptive titles that properly identify the subject.

Names

No information about you or your country will be given to the selectors. No title or identification of the maker shall be visible anywhere on the face of an image entered in a PSA Recognized exhibition. Any images contravening this rule will not be judged.

Judging

Your images will not be presented to the selectors consecutively. Your four images will be distributed throughout four rounds of judging in that section. Distribution of images shall be in the same round order as submitted by you.

Reproductions

By submitting an entry for the Bristol Salon the entrant permits the organisers (free of charge) the right to reproduce all or part of the entered material for publication in a catalogue, on an internet site and/or in other media related to the Bristol Salon, in any format that the organisers consider to be reasonably suitable for the purposes of publication.

PSA Drone Policy

One of the tenets of photography, is that the safety and well-being of the subject, photographer and surroundings is of paramount importance over the capturing of the photograph. The purpose of this section is to prevent any interference with other individuals or animals which will or may cause a disturbance in their normal activity or disrupt the way an individual or animal interacts with its environment.

  1. May not fly a drone above people for the purpose of photographing their activity, unless permission is granted in writing 2. May not fly or photograph animals in their natural habitat, especially nesting areas and locations where the animal is already under stress (winter survival, migratory feeding, protecting young). Photographing scenery/landscapes is permissible.
  2. May not fly or photograph in any designated wilderness area.

PROJECTED DIGITAL IMAGES

All Images

All images are to be submitted in JPEG format. Maximum image size (including any borders) is 1600 pixels wide by 1200 pixels high. This is the native resolution of the projector, so these dimensions will give optimum viewing. Please note, portrait images must be no larger than 1200 pixels high. Smaller images are acceptable but will be projected smaller on the screen. Image file sizes must not be bigger than 3Mb.

Colour Space

The judging and display software assumes that the images are in sRGB colour space. Images will be displayed on a digital projector using the sRGB colour space. The projector only displays colours which are visible in sRGB. If you use a larger colour space (such as Adobe 1998 or ProPhoto), the colours will be interpreted to fit the sRGB colour space. This means your image may not display the way you intended; it may lose colour or detail or both. To ensure that we see what you want us to see, make a copy of your image, convert the colour space in the copy to sRGB, save it and send us the sRGB copy. We will not convert the image for you. Do NOT use CMYK.

Borders

The projection background is black, DO NOT fill empty space with/or add large borders. Any borders should be no greater than 2 pixels wide and must be incorporated within the 1600 x 1200 pixels image size. Please check all image sizes before submission; images with sizes larger than specified will be rejected.

PRINTS

Print Size

All sections: Maximum: A3 420mm x 297mm (16.5” x 11.7”). Minimum: A4 297mm x 210mm (11.7″ x 8.3″).

Prints will not be returned

Labelling Prints

The back of each print must bear the name, address and country of the entrant and be titled to correspond with the entry form. This must be printed in capital letters or typed, and include section number, section name, and image number within the section to match the entry form. Pre-printed labels with these details will be emailed to all on-line entrants – these are to be affixed to your prints before posting.

No title or identification of the maker shall be written anywhere on the face side of any print.

All entries are to be submitted as prints conforming to the regulations for the appropriate section.

In addition, a small digital image of each print is required as part of the on-line entry process. The required characteristics of these small digital images are as follows:

– in sRGB .jpg format
– maximum 1.5 MB file size
– maximum 1600 pixels horizontally, 1200 pixels vertically. Note that portrait orientation images must still meet the 1200 pixel height limit. Images which exceed any of these maximums will be automatically blocked during the on-line entry process. These digital images will not be judged and may be used for the Salon catalogue or as part of the public projections of accepted images.

ENTRY FORMS

Submission

Images and a completed entry form must be submitted on-line using the Bristol Photographic Society website (www.bristolphoto.org.uk) and then following the links through the Bristol Salon tab. Entries will not be accepted on CD or by email. You MUST use only the Western/Latin alphabet when submitting an entry.

a)  The Entry Forms must be completed fully. In order to qualify for a Traditional Award, you should ensure that the letter“T” (for Traditional) option is ticked in the On-Line Entry Form.

b)  It is your responsibility to ensure that the Entry Forms are CLEARLY and CORRECTLY completed in ALL respects. Where the Exhibition Organisers consider that this is not the case, they will not accept any responsibility for the safe delivery of Report Cards, Catalogues or Awards.

c)  Where you are submitting an entry as part of a group entry, you must ensure that you tick the relevant box on the entry form and enter the Group Reference provided by the Salon. Failure to do this will mean that you will not be eligible for any group discount – please refer to paragraph 23.

d)  Entry Fees will be paid via PAYPAL. Please refer to the Entry Fees Panel below for details of Entry Fees. In the specific cases where your own country’s regulations prevent the use of PayPal, you should contact the Salon Chairman to make alternative arrangements. Please note that entries without the correct fee or without any fee will not be judged.

e)  Entries must be received by the published closing date, 25 January 2020

RESULT NOTIFICATIONS, CATALOGUE & EXHIBITION

Notifications

Notification of results will be sent by email. You must ensure that you provide an active email address and that spam filters are set to accept emails from salon@bristolphoto.org.uk. Notifications will not be sent by post

Catalogues – Printed

You will receive a FIAP 4* colour printed catalogue. Ribbons will be sent with the catalogues where possible – medals will be posted separately. Catalogues will be posted 2nd Class for UK entrants and surface mail for overseas entrants. The Salon cannot be held responsible for failure of the postal authorities to deliver.

Public Showings

A representative selection of the accepted images (approx. 30%) will be projected at public showings, without the need to obtain specific consent.

ENTRY FEES

Fees are to be made through PayPal using either your own PayPal account or by utilising any current credit or debit card. All payments will be charged in Sterling. Please note, the additional fees for Non-UK entrants are to cover the additional costs incurred when posting the catalogues. The appropriate fees are set out below, for details of Group Entries, please see below:

Group/Club Entries

A discount of 20% will be given to all group/club entries. Please note, the following conditions will apply:

– The group must comprise a minimum 10 entrants.
– The fees shown are per entrant
– Before entering, the group organiser must obtain a Group Entry Reference from the Salon Chairman, this must be used by all entrants in the group.
– Catalogues & awards will be posted to a single address. provided by the group organiser at the time of entry.
– Entrants must provide individual email addresses for the sending of results notification.

Non-Payment of Fees

Entries for which the appropriate fee has not been received, will not be judged.

BREACH OF CONDITION OF ENTRY AND/OR TERMS OF DEFINITIONS

Compliance – Generally

The organisers before, during or after the Salon, may decline any image or entry application at their discretion. An image or entry application may be declined if it does not conform to the published Conditions of Entry or Definitions (see below) or if that image, or entry application, or the applicant is deemed unsuitable. In order to ensure that images comply with the Conditions of Entry and Definitions, the organisers may carry out checks on images to make sure that:

– The images are your original work.
– The images comply with the rules and definitions as set out in this document.

This may involve you being asked to provide the original image(s). In the event of any submitted image being found to contravene the published Conditions of Entry or Definitions, or not to be wholly your work, your complete entry may be declined. If you fail to provide a requested image file, you may, at the organisers’ discretion, be considered to be in contravention of the above rules and may also have your entry declined.
Specialist software has been developed and will be used for examining and checking images for manipulation.

PSA Requirements

We are required, as a condition of the PSA Recognition granted to this exhibition, to publish the following PSA condition of entry:
If at any time, it is determined in the reasonable discretion of the exhibition organizer or the selectors before, during, or after the judging of an exhibition that you have submitted an entry where one or more images may fail to comply with these Conditions of Entry, including the stated definitions, the exhibition organizers reserve the right to delete your entry from the exhibition and void any or all acceptances or awards in connection with the exhibition. Fees may be forfeited or refunded in these circumstances. You acknowledge that the decision of the exhibition organizers or the selectors is final. In order to ensure that images comply with the Conditions of Entry and definitions, the exhibition organizers may carry out reasonable measures to verify that:

– the images are your original work and
– the images comply with the rules and definitions as set out in these Conditions of Entry.

These steps include, but are not limited to, questioning any entrant, requiring the submission of RAW files or other digital files representing the original capture of the submitted image(s), confronting the entrant with evidence that one or more submitted images fails to comply with the Conditions of Entry (also known as Entry Rules), and offering you a reasonableopportunity to provide counter evidence to refute the exhibition organizer’s evidence by a set deadline. Such entries thatare not cleared or are still questionable after you have presented evidence may be considered in breach of these Conditions of Entry and declined. Such entries may be referred to PSA for further investigation of possible ethics violations.
PSA retains the right to investigate in any way all complaints/suspicions of breaches of entry conditions, impose sanctions if deemed necessary, void the acceptances of any image found to violate the PSA rules, include the entrant’s name on the list of sanctioned photographers provided to Exhibitions, and share such investigations with FIAP. You automatically agree to these terms by the act of entering the Exhibition and agree to cooperate with any investigation.

FIAP Requirements

We are required, as a condition of the FIAP Patronage granted to this exhibition, to publish the following FIAP condition of entry:
The mention that by the sole act of submitting your images or files to a salon under FIAP Patronage, you accept without exception and with no objection the following terms:

– that the submitted images can be investigated by FIAP to establish if these obey to FIAP regulations and definitions even if you are not a member of FIAP,
– that FIAP will use any means at its disposal for this undertaking,
– that any refusal to cooperate with FIAP or any refusal to submit the original files as captured by the camera, or failure
– to provide sufficient evidence, will be sanctioned by FIAP,
– that in case of sanctions following the noncompliance with FIAP regulations, your name will be released in any form useful to inform the breaches of the rules.

Disputes

In any case of dispute regarding compliance with the Conditions of Entry, payment of fees or matters pertaining to an image (such as receipt, acceptance, compliance, score or award), the decision of the organisers and selectors to accept your application (or not) will be final. Violations and perceived violations of the Conditions of Entry may be reported to the organisations that have accorded official recognition, patronage or accreditation to this exhibition and may result in your application to have your images included in this and other exhibitions being declined.

Data Protection

By entering this exhibition, you are explicitly consenting to the personal details you have supplied, including email addresses, being held, processed and used by the exhibition organizers for purposes associated with this exhibition. You also explicitly consent to such information being sent to organizations which have accorded official recognition, patronage or accreditation to this exhibition and also the sharing of email addresses with other UK salons for the purposes of publicity. You acknowledge and accept that entering this exhibition means that the status and results of your entry may be made public.
